Agreement
This agreement is subject to the terms and conditions outlined below. Swanner Planning Co. (“Coordinator”) will consult with the Client(s) prior to the event to review requests, timelines, and any relevant planning documents. On the event date, the Coordinator will arrive at the contracted start time, provide coordination and assistance throughout the event, and conclude services at the agreed-upon end time.
The Coordinator reserves the right to capture and share photographs from the event for marketing and promotional purposes on business platforms unless otherwise agreed upon in writing.
The Coordinator is permitted to partake in food and non-alcoholic beverages provided to guests or the wedding party on the event day. For events exceeding eight (6) hours, both lunch and dinner must be provided. The Coordinator will not consume alcoholic beverages unless directly offered by the Client(s).

Additional Fees
Events with more than 100 guests and/or events held at multiple locations may require a Wedding Coordinator Assistant. Assistant fees range from $250–$500, depending on event complexity.
Venues located more than 20 miles outside of the DFW area may require a travel and/or lodging fee. Any applicable travel fees will be discussed and agreed upon prior to contract execution.
Additional hours added to day-of coordination packages, whether requested before or during the event, will be billed at $100 per hour. Hours extending beyond midnight will be billed at $150 per hour.
Full and partial planning packages include up to ten (10) hours of day-of coordination. If coordination exceeds ten (10) hours, additional hours will be billed at $100 per hour. Full and partial planning services are not billed hourly outside of event-day coordination.

Payments
A non-refundable deposit is required to secure the booking date. The remaining package balance must be paid in full no later than sixty (60) days prior to the event date. Failure to submit full payment by this deadline may result in cancellation of services.
Any outstanding balance will incur a late fee of $50 per day until paid in full. Additional fees incurred on the event day must be paid to the Coordinator prior to the conclusion of services.
Accepted payment methods include Zelle, Venmo, cash app and cash. Payment plans may be available for partial planning packages and must be discussed and approved in advance. Gratuity is not included or required but is always appreciated.

Health & Safety
Client(s) agree to provide a safe, respectful, and appropriate working environment for the Coordinator and any assisting staff. In the event of harassment, unsafe conditions, health concerns, or any behavior deemed inappropriate, the Coordinator reserves the right to immediately terminate services and/or leave the event.
In such cases, all payments made shall be retained by the Coordinator. Client(s) agree to release and hold Swanner Planning Co. harmless from any claims resulting from incomplete coverage or perceived reduction in service quality due to early termination under these circumstances.
